Roles and Responsibilities

Line Managers
Enjoy restricted access to manage their teams, initiate AWOL processes, and record employee returns.
Employees
Have read-only access, receiving emails and letters throughout the process.
Setting Up the AWOL Leave Type
Designate a specific time-off type within Numla HR to be linked to the AWOL process. Remember, using only one AWOL leave type ensures smooth system operation.
Here's how to configure the AWOL leave type:
- Navigate to Time-Off > Configuration > Time-Off Types.
- Select the leave type you want to set up for AWOL.
- Click "Edit," scroll down to "Options," and check the "AWOL Process" field.
Running the AWOL Process
The AWOL process unfolds in a clear sequence:
1. Line Manager Initiates
On the third day of an employee's absence, the line manager logs into Numla HR and initiates the AWOL process by creating and approving an unauthorised absence leave for the employee.
2. HRBP/Generalist Approves
The system automatically notifies the designated HRBP/Generalist for their department to review and approve the notification that will be sent to the employee.
Upon approval, Numla HR takes the initiative to automatically send the letter to the employee's private + work email address, ensuring timely communication.
3. Employee Responds or Does Not Respond
The employee has five working days to respond. If they respond, the line manager can initiate the "Return to Work" process. If there's no response, Numla HR repeats step 2, but with a termination letter.
4. HRBP/Generalist Approves Termination Letter (if applicable):
Similar to the previous step, the HRBP/Generalist reviews and approves the termination and sets a termination date. Numla HR then automatically sends the termination notification to the employee's email.
Additional Features
Pause Function
Provides flexibility for line managers, HRBPs, and Generalists to temporarily halt the AWOL process at any point and resume it later.
Leavers Form and Time-Off Integration
Simplifies managing terminations resulting from AWOL by automatically creating a leavers form linked to the leave record.
HRBP Reminders
Ensures prompt attention to AWOL processes by sending daily reminders to HRBPs for both initial letter and termination approvals (excluding weekends and holidays).
Configuration
Numla HR allows configuration of specific AWOL process aspects:
AWOL Termination Reason
Set the default leaving reason applied to leavers forms generated from AWOL terminations.
HRBP Departments Mapping
Ensure proper notification by mapping HRBPs to their corresponding departments.
