Employees of large organizations can face a significant challenge in obtaining salary certificates. Typically, this process involves employees reaching out to HR and enduring several days of waiting. The HR department faces significant time constraints processing the large volume of such requests. Moreover, ensuring data confidentiality while transmitting these sensitive documents adds complexity to the task.
Introducing Numla HR - Salary Statements App
To tackle this challenge, Numla HR offers the "Salary Statements" app, providing a swift and hassle-free method to obtain employment proof. Unlike traditional methods that involve time-consuming processing by the payroll team, our app allows employees to conveniently request salary statements directly within the system.
The Process for Salary Statement Requests
Employees can easily log in to the system, navigate to the Salary Statement app, and initiate a new request.
For instance, if an employee needs a loan and requires a salary certificate, they can input the necessary details and submit the request to the payroll team for processing.
The payroll team receives all new requests and reviews them based on application status, and in this example, Patrick's request is currently under approval.
The payroll representative opens the request and begins the review process, and the system presents Patrick's current salary information, which can be overridden by the payroll team if necessary.
They can further scrutinise the statement by clicking "preview" to ensure all provided information is correct.
Once satisfied, they can fill in the form and electronically sign to approve the request.
An automated scheduled action runs in the background, generating the salary statement and sending it to the employee's work or personal email based on the requester's preference.
The employee is notified via email, and the file is password-protected.
Here's an example of Patrick's statement salary certificate generated for AIB bank. Additionally, the system has the capability to generate statements for other banks such as AIMA, Avant, BOI, and PTSB.
This streamlined process not only ensures easy and secure access to salary information but also significantly reduces waiting times for employees. Consequently, this initiative contributes to enhancing the overall employee experience by making the process swift, secure, and highly efficient.
